Terms of Use

By accessing and using Cliptic ("the platform"), you agree to these Terms of Use in full. If you do not agree, do not use the platform.

Cliptic is currently offered as a work-in-progress, demonstrator project—not a finished commercial product or a guaranteed archival or backup service. Features may be incomplete, unstable, change, or be interrupted with little or no notice, and errors, loss, or corruption of data may occur.

The platform is therefore not suitable as the sole repository for sensitive research, critical deadlines, or irreplaceable material. You are responsible for keeping your own backups outside Cliptic.

Cliptic is a platform for linguistic annotation and transcription of audio. It allows users to:

  • Upload audio files
  • Automatically transcribe audio with AI (OpenAI Whisper)
  • Create and manage linguistic annotations (tiers, segments, controlled vocabularies)
  • Export annotations in multiple formats (EAF, TextGrid, JSON, CSV, TSV)
  • Share projects in read-only mode

To use the service you must create an account. You agree to:

  • Provide accurate and up-to-date information
  • Keep your password confidential
  • Notify us of any unauthorised use of your account
  • Be responsible for all activity carried out from your account

You may only register as a legal entity (for example, on behalf of a company, institution, or organisation) or as a natural person of legal age with full legal capacity to enter into online service contracts in your country. The service is aimed at professionals and work contexts; it is not intended for minors. If you do not meet this requirement, you must not create an account or use Cliptic.

We may suspend accounts that violate these terms.

The following is prohibited:

  • Using the platform for illegal or unauthorised activities
  • Uploading content that infringes third-party rights (copyright, privacy)
  • Attempting to access other users’ data or the underlying system
  • Using the platform to distribute malware
  • Reverse engineering the service beyond what mandatory applicable laws allow
  • Using bots or automation to mass-create accounts

The platform may allow you to generate read-only links to projects. Anyone with the link may access the information included in the project according to the settings you configure.

You are responsible for obtaining any authorisations and lawful bases required when audio, transcripts, or annotations contain personal data or third-party content (for example, participants in a recording). Cliptic does not review or validate the content you upload or how you use shared links.

When you act as controller for that third-party personal data and use Cliptic to process it, Cliptic will act as a processor under Article 28 GDPR (and equivalent law). The detailed terms are set out in the Data Processing Agreement (DPA) published at the /dpa path on the site; that DPA supplements the Terms of Use and Privacy Policy for that processing on your instructions.

Your content: you retain the rights that apply to your audio files, annotations, and projects. You grant us a limited, non-exclusive, revocable licence to store, technically reproduce, and process that content solely to operate and improve the service you use, including making it available to subprocessors acting as processors where the law requires.

Our platform: the code, design, logos, and Cliptic brand are owned by their proprietor. You may not copy, decompile, or distribute the software without express permission, without prejudice to mandatory laws on interoperability or information security.

The platform integrates third-party services (for example, OpenAI for AI features, Stripe for donations, email or infrastructure providers).

  • OpenAI: when you use transcription or other features that call the API, OpenAI’s terms apply and, where relevant, use of your own API key. You are responsible for costs and compliance with OpenAI.
  • Stripe: voluntary donations are processed under Stripe’s terms.

We are not responsible for third parties’ performance, availability, or privacy policies, without prejudice to our obligations as controller for data we process within Cliptic.

Given the demonstrator, in-development nature of the service described above, the platform is provided “as is”, without warranties of uninterrupted availability, transcription accuracy, or freedom from errors. To the fullest extent permitted by applicable law, we are not liable for:

  • Loss, deletion, alteration, or unavailability of information linked to testing, experimental deployments, failures reasonably foreseeable in a development-stage product, or technical migrations and changes
  • Data loss due to technical failures or force majeure
  • Accuracy of automatic transcriptions (which depend on audio quality and the AI provider)
  • Costs incurred from use of the OpenAI API or other providers you configure
  • Indirect, incidental, or consequential damages except where mandatory law does not allow such limitations

Nothing above excludes wilful misconduct or, where the law does not allow exclusion, gross negligence, or limits rights you have as a consumer or user under mandatory law.

We recommend keeping backups of your projects and annotations.

Because the project is demonstrator-stage and under active development, the service may be interrupted or changed more often than a stable commercial product. We do not guarantee uninterrupted availability. We may perform scheduled maintenance with notice when reasonably possible, or temporarily suspend the service for technical or security reasons, including with limited notice where the situation requires it.

You can delete your account and associated data from your settings. Deletion is irreversible from the service perspective and is completed within the period stated in the app (typically up to 30 days), without prejudice to residual backup copies described in the Privacy Policy.

We may modify these terms at any time. We will notify you of material changes via the email on your account or a prominent notice in the platform. Continued use after the reasonable period indicated will constitute acceptance of the updated terms, unless the law requires a different procedure.

Except for mandatory rules that apply to you as a consumer or user in your country of residence or nationality (for example, consumer protection rules in the European Union), the relationship is governed by the laws of the country where the operator of Cliptic has its habitual professional domicile, and the courts of that country have jurisdiction, without prejudice to any mandatory rules on jurisdiction that may apply to consumers.
